As the coronavirus lingers on, we continue to find ourselves living in isolation, separated from our clients, colleagues, coworkers and, of course, our family and friends.

But social distancing hasn’t quashed our ability to connect with one another.

We are quickly adapting — whether it’s Zoom meetings with our work teams or emailing our clients, we’re finding new and innovative uses for technology to keep us in touch. Interestingly, polls (no, they are not just used to attempt to predict the outcome of elections) show that more and more people are texting to stay in touch. However, as with all technology, texting arrived on the scene without a rule book for how to use it politely and professionally. Texting is a great tool when used correctly. It can be a source of extreme annoyance when used incorrectly.

Here are some tips for texting the right way:

1. Always respond. Even if all you say is “got it,” reply so the sender doesn’t have to wonder if the message went through. Technology has been known to fail us. To be polite, respond in a timely manner. 2. Don’t get wiggy if you don’t receive an instant response. Your intended recipient may be busy. Whatever you do, do not keep texting until you get a reply. 3. Be mindful of when you text. Consider the recipient’s schedule. Don’t disturb your clients and coworkers at night or on weekends. Be considerate. 4. Don’t text the great American novel. I confess that I am guilty of this since brevity is not my strong suit. If it takes you more than 30 to 60 seconds to write, pick up the phone. 5. Ask permission before you call in response to a text. Texting is a message that the sender does not want to talk on the phone. If you feel a long-winded answer coming on, ask before you dial up. 6. Double-check your auto-correct. You know, that annoying habit that texting has of thinking it knows better than you do what word you wanted to use. Proof your text like any other written communication to avoid sending something goofy. 7. Double or even triple -check whom you are sending to. It’s all too easy to slip up and text the wrong person. Doing so can harm your professional image.

8. Avoid sarcasm. This is a good rule to follow in business as well as personal life. Sarcasm is easily misunderstood. It can create arguments or cause hurt feelings. Text has no tone of voice. 9. If you wouldn’t say it their face, don’t text it. Need I say more? Texting is not an excuse to avoid dealing directly with an issue. Once again, pick up the phone, call a meeting or keep it to yourself. 10.Don’t use chatspeak. Don’t 4get this rule. b/c u could lose credibility. Only a few abbreviations are universally understood. 11. Use texting laughter the right way. Who knew this could be so complicated? If you want to acknowledge humor, here are the rules: Ha: when you don’t find something funny, and you want to let that be known. Haha: when you don’t find something funny, but you want to be polite.

Hahaha: when their text made you smile.

Hahahaha: when you genuinely laughed.

HAHA+; when you find something hysterical.

Note: I am not responsible for these guidelines.

12. Keep your face out of your phone when you are with other people. I have to say that I find this most offensive. If you must be on your phone and texting, stay home. It’s rude and discounting to the people you are with. It gives the impression that you don’t care about present company. Texting is useful when used correctly. Follow the rules if you want to impress. Lydia Ramsey is a Savannah-based business etiquette expert.
